Facilities Coordinator

The Facilities Coordinator works in accordance with all school policies and protocols and in line with the Vancouver Waldorf School (VWS) vision, mission, values and guiding principles to coordinate the janitorial and maintenance tasks required for the safe and healthy operation of school facilities.

The Facilities Coordinator is hired by, reports to, and is evaluated by the Business Manager. The Facilities Coordinator has no direct reports in relation to employment, leave requests or performance management but will direct the day-to-day work of the janitorial and maintenance personnel and may be asked for input by the Business Manager into the performance review of those personnel.

Desired Qualifications and Attributes

  • Understanding of the trades required for different maintenance tasks
  • Understanding of municipal bylaws in relation to building permitting
  • Ability to understand WorkSafeBC, school and childcare licensing requirements in relation to facilities safety and coordinating inspections
  • Experience in managing and directing workers and sub-contractors
  • Excellent organization, multi-tasking, time-management and communication skills
  • Competency with computers, including Excel for project and budget management
  • Reliability; following through on initiatives and requests

Duties and Responsibilities

All faculty and staff of VWS are expected to provide servant leadership to the school and its mission. In addition to the duties specified below, the Facilities Coordinator will adapt to the needs of the school and assist, as needed, in other operational areas based on their skillset. The Facilities Coordinator will also ensure that any tasks assigned to them within the VWS strategic action plan are progressed as planned.

The Facilities Coordinator will not be required to attend Full Faculty & Staff meetings, professional development days, or the admin department meeting, but may be requested at other meetings and school events as necessary to the position, which may change from time to time. The role in these meetings may include as chair, minute-taker, participant etc.

School Operations

  • Responsible for establishing processes and directing personnel for the provision of proper janitorial services, maintenance, landscaping, and improvement of school facilities within the assigned budgets, to ensure the safety and security of the students, employees and visitors.
  • Responsible for coordinating outside agency inspections and any resulting facilities improvements
